Job Title: Museum Coordinator
Location: MoCA\CT, 19 Newtown Turnpike, Westport, CT 06880
Position Type: Part-time (20–25 hours/week, flexible) managing daily front desk operations and visitor services at a contemporary art museum
Reports to: Executive Director
Position Overview
The Museum Coordinator plays a key public-facing role at the Museum, serving as the first point of contact for visitors while supporting the museum’s daily operations behind the scenes. This position ensures a welcoming, accessible, and informative experience for all guests, provides knowledgeable guidance about exhibitions and programs, and upholds the smooth functioning of admissions, membership processing, and front-of-house activity. The Coordinator also acts as an important liaison across departments, helping maintain consistent communication with staff, members, and the wider community.
Role Summary
In addition to front-of-house engagement, the Coordinator manages essential administrative systems that keep the museum’s operations running effectively. This includes database oversight, attendance tracking, part-time staff training and scheduling, volunteer cultivation and coordination, and event support for exhibition openings, performances, and public programs. The ideal candidate is an organized multitasker with strong customer-service skills, an enthusiasm for contemporary art, and the ability to adapt to a dynamic environment with both independent and collaborative work.
Key Responsibilities
Visitor Services
-Greet visitors and provide exceptional customer service
-Process admissions, memberships, and gift shop transactions
-Provide information about current exhibitions, programs, and events
-Handle visitor inquiries via phone, email, and in person
-Ensure welcoming and accessible environment for all guests
-Maintain appearance of museum lobby (restock printed materials, organize bar area, keep desk tidy, etc.)
Administrative + Database Management
-Coordinate scheduling for part-time front desk employees
-Maintain visitor database and membership records
-Track attendance and generate reports for staff
-Retrieve, process mail and correspondence
-Support general office administration (pick up orders from printers, purchase stamps, etc.)
Volunteer Coordination
-Recruit, train, and schedule front desk volunteers
-Maintain volunteer database for visual arts, performing arts, education, etc.
-Develop training materials and protocols
-Provide ongoing support and supervision
Event Support
-Assist with coordination of openings, programs, and special events (set up chairs, tables, mics,
piano, podium, screens, complimentary beverages and snacks, etc.)
-Staff events as needed
-Manage event registration and check-in
-Monitor and order event materials such as beverages, glassware, napkins, etc.
Compensation
This is a part-time, hourly position. Compensation is commensurate with experience and competitive within the nonprofit arts sector.

Job Title: Administrative Assistant to the Executive Director

In a small-staff, mission-driven museum environment, this key position manages a calendar, acts as a gatekeeper, an IT assistant, and a project manager. The ideal candidate will possess excellent technical skills, adaptability, and a genuine passion for contemporary visual and performing arts, education, and community-building.
Position Overview
The Assistant to the Executive Director provides high-level administrative, operational, and project-based support to the Director. This role is central to the museum’s daily operations, ensuring that the Director can focus on mission-driven excellence in visual and performing arts and education, strategic growth, fundraising, and community engagement. The ideal candidate is an initiative-taking problem-solver who thrives in a creative environment and possesses a “no task is too small” attitude. The Administrative Assistant to the Executive Director also acts as an integral liaison across departments.
Key Responsibilities
1. Executive + Administrative Support
-Calendar Management: Coordinate the Director’s complex schedule, prioritizing internal meetings with staff and committees, stakeholder/potential donor, and fundraising meetings, as well as professional arts, cultural and community events. Block off deep-work time.
-Communication Bridge: Serve as the primary point of contact for the Director, managing inquiries and correspondence with professionalism. Provide IT support as needed. Attention to detail is essential.
-Meeting Logistics: Assist in preparing agendas, availability responses, and scheduling; take minutes for Board, committee, and staff meetings, and track follow-up action items.
-Travel + Expenses: Manage travel arrangements and process monthly expense reports.
2. Board + Donor Relations
-Board Liaison: Assist in the preparation of Board packets, coordinate committee meetings, and maintain the Board portal/archive in coordination with Development and Finance.
-Donor Stewardship: Support the Director in fundraising efforts by tracking donor interactions in the database and assisting with VIP events.
3. Office Operations + ‘Small Team’ Support
-Experience: Ideally two years of administrative experience, preferably in a non-profit museum, gallery, or cultural institution. Emotional maturity, visual literacy, core administrative and multitasking experience required.
-Tech Savvy: Proficiency in Google Workspace/Microsoft 365, PowerPoint, online conferencing platforms (including Zoom, Google Meets, etc.). Experience with donor databases and project management tools is a plus.
-Communication: Writing and people skills; ability to engage warmly with everyone from staff members to new visitors to major donors. Ability to interact authentically with diverse visitors, artists, and performers of all ages, abilities, and backgrounds.
-Discretion: Ability to handle sensitive information regarding museum finances, personnel, and high-net-worth donors with absolute confidentiality.
-Passion: A genuine interest in contemporary visual and performing arts, education, community-building, and a belief in the museum’s mission.
Compensation
